GENERAL RESPONSIBILITIES       

Provides diverse administrative support services to the Behavioral Health Director and staff. Ongoing responsibilities include tasks and duties relating to client and referral source relations, enhanced community awareness about programs and services, meeting and schedule coordination, records maintenance, correspondence, filing, policies and procedures, contracts with outside agencies and independent contractors, and designated program quality assurance activities.

ESSENTIAL DUTIES

  • Maintains and updates documents for division including referral lists and treatment information.
  • Implement designated quality assurance procedures, activities and data collection.
  • Answer and manage multiple-line telephone system. Forward messages to counselors, schedule appointments, answer questions regarding program services, and refer clients to community resources as needed.
  • Greet and check-in client as they arrive for appointment. Ensure that proper paperwork is given to new client for completion before start of appointment. Assist client to complete Terry Reilly Registration and Intake materials. Update established client information, as needed. Notify counselor that client has arrived.
  • Educate clients regarding payment policies. Request payment from clients and provide clients with a receipt.   Collect third-party billing information and accurately enter into PMIS system.
  • Manage requests for patient information. Fax Release of Information forms to outside agencies to request records.
  • Coordinate patient appointments including: scheduling or rescheduling appointments.
  • Track Medicaid compliance and facilitate appointments and documentation completion as needed.
  • Scan and enter necessary paperwork into client's record in EMR and PMIS system including documents such as: patient registration, insurance card, Healthy Connection Referral, verification of income, and all other necessary patient documentation
  • Responsible for independent contractors as follows: , (a) prepares new and updated contracts, (b) distributes and files copies as appropriate for psychologists and other on-call employees or consultants (c) process billing for services. Notifies Behavioral Health Director when contracts are up for renewal or problems arise.
  • Makes recommendations to improve office efficiency and cost-effectiveness.
  • Utilizes training monies allotted for administrative skills development.
  • Responsible for investigating and resolving patient incidents and complaints as they pertain to the clinic front office.
  • Assists in developing staff meeting agendas and Attends other clinic and corporate meetings as appropriate to provide administrative support.
  • Ensures the safety and cleanliness of clinic facilities by filing necessary work orders, scheduling on-going maintenance and performing regular inspections, oversight and reporting as assigned.
  • Files patient incident reports and complaints using the incident reporting system.
  • Supports Behavioral Health Division leadership in upholding Terry Reilly's policies and procedures and standards of excellence.

 

MINIMUM QUALIFICATIONS

  • Must have three years of prior clerical and front office operations experience.
  • Excellent human relations skills.
  • Demonstrated organizational skills.
  • Proficient with MS Office.
  • Excellent communication, writing, and grammar skills.
  • Clear and logical thinker.
  • Must be able to sit for long periods of time.
  • Ability to work occasional evenings or weekends as required by Behavioral Health Director.
  • Types at least 60 - 70 WPM on word processor.
  • Must be a self-starter who stays productive under minimal supervision.

PREFERRED QUALIFICATIONS

  • Associates or Bachelor's degree.
  • Experience working in a healthcare setting.
  • Prior experience in criminal justice system and knowledge of related community resources.
