Administrative Assistant

ESSENTIAL DUTIES

    1. Types correspondence including, but not limited to, letters, memos, forms, and minutes as directed by the Chief Operations Officer, Chief Executive Officer and Executive Administrative Coordinator.
    2. Provides administrative support to include telephone coverage, copier projects, mail handling, and necessary communication internally and externally.
    3. Assist with documents in electronic form to include, but not limited to, monitoring and coordination of updates, revisions, deletions or additions as needed by the Executive Administrative Coordinator.
    4. Maintains awareness of the availability of administrative staff. That is, remains knowledgeable as to whether they are on leave, in the office but not to be disturbed, available for any calls or visitors, in a meeting, away from the office but will be returning at a specified time or in the facility but not at their usual desk. It is each individual's responsibility to let the Office Assistant know his/her schedule.
    5. Opens, sorts and prioritizes incoming Terry Reilly mail and any other interoffice mail on an as needed basis.
    6. Runs reports, sorts and filters them to capture the data required for new Medicaid enrollment reports. Mails welcome letters to new patients and completes the process of disseminating the numbers into the quarterly spreadsheet for the Executive Leadership Team.
    7. Prepares needed materials for welcome packages as needed by the Human Resources Professional Recruiter.
    8. Works with the Professional Recruiter to arrange interview schedules, on-boarding scheduling and administrative responsibilities to ensure quality onboarding of new LIP staff.

MINIMUM QUALIFICATIONS

  1. Minimum three years experience in a responsible clerical/administrative field.   
  2. Strong computer skills with proficiency using Microsoft Word and Excel.
  3. Excellent interpersonal skills.
  4. Strong written and verbal communication skills.
  5. Is a self-starter requiring minimal supervision.
  6. Strong organizational abilities, detail oriented, and able to effectively prioritize.
  7. Must be able to sit for long periods of time.
  8. Must possess hearing and verbal abilities appropriate for telephone and customer duties.
  9. Able to work infrequent Saturdays and evenings.
