GENERAL RESPONSIBILITIES          

Works in collaboration with the clinical directors and assists HIM Manager to provide support for the Health Information Management (HIM) Department. The HIM Specialist will assist HIM staff with evaluating, processing, validating preparation and disclosure of Protected Health Information requests (PHI) pursuant to the authorization for release and in accordance with organizational, state, federal and HIPAA guidelines.   

 

ESSENTIAL DUTIES (may include but are not limited to):

 

  • Receives and responds to incoming requests for information from patients, outside entities and third parties.
  • Provides customer service to patients and third parties when answering incoming calls, responding to questions and concern, and/or routing to appropriate parties.
  • Assists the HIM Manager with specific department functions including, but not limited to, coordination of HEDIS and other required regulatory chart audits and requests; tracking, scanning, and follow up communications associated with provider orders and form completion; workflow planning and assignment.
  • Responsible for reviewing, validating and ensuring requests and authorizations are properly executed, contain required elements of a valid authorization, and meet required standards in accordance with HIPAA and state law.
  • Reviews and analyzes information in the electronic medical record and registration systems to ensure that information is being released to an authorized person in an authorized manner.
  • Processes Release of Information requests including retrieving requested information, copying, scanning, faxing or mailing medical records pursuant to the request and in accordance with Minimum Necessary standards. Ensures Release of Information is accurately documented, tracked and invoiced in electronic systems.
  • Maintains working knowledge of HIPAA and current state laws regarding the privacy and confidentiality of PHI, as well as organizational policies, procedures and expectations with regard to access, use and disclosure of PHI.
  • Assists HIM staff with preparing and scanning documentation into the Electronic Medical Record (EMR) ensuring correct placement in correct patient record under appropriate categorization and record description type and in a timely manner; answering incoming calls to HIM; monitoring public fax folders and routing faxes to appropriate departments.

MINIMUM QUALIFICATIONS

  • Minimum one years' experience in the medical field with working knowledge of HIPAA, medical terminology, and releasing Protected Health Information.
  • Minimum 1 years' experience in a Health Information Management, Medical Records or related department requiring same or similar knowledge and experience, 2 years preferred.
  • A thorough understanding of the functions of an Electronic Medical Record and user experience with at least one EMR system.
  • Working knowledge and understanding of PHI Release of Information practices and standards.
  • Previous experience scanning documents into an electronic database. Medical record scanning preferred.
  • Experience with, knowledge of, and ability to apply professional customer service concepts, principles and practices.
  • Ability to work with frequent interruptions.
  • Proficient computer skills.
  • Keen organizational skills.
  • Superior verbal and written communication skills

PREFERRED QUALIFICATIONS

  • Successful completion of a medical office program, accredited health records program, and/or ROI certification (or equivalent related work experience).
  • Associates or Bachelor's degree
