Human Resources Specialist - Benefits/HRIS

GENERAL RESPONSIBILITIES       

Responsible for support of day-to-day Human Resources (HR) operations under the general supervision of the Chief Operating Officer with a general focus on employee benefits and HRIS.

ESSENTIAL DUTIES

  • Assists Human Resources Lead in carrying out various human resources programs and procedures. Provides general HR assistance to employees, managers and external customers.
  • Processes employee status change forms by updating HRIS with new information, completing and distributing the HR Report monthly that identifies all changes. Reviews form for accuracy and brings concerns to the attention of the COO.
  • Works collaboratively with the HR Lead and Integrated Systems Manager with regard to the benefits presentation and onboarding paperwork (e.g. W-4, I-9) needed from new employees at orientation.
  • Administers the Continuing Education (CE) program. Processes CE requests as directed by the HR Lead. Coordinates payment and time usage data with Purchasing/Accounting Specialist and Payroll Specialist, respectively.
  • Under the supervision of the HR Lead / Benefits Administrator, handles the daily activities related to the corporate benefit programs, including health, dental, life, disability, vision, health savings account, employee assistance program, and flexible spending accounts. Coordinates enrollment, changes and termination with Payroll Specialist and insurers, as appropriate. Assists with communication, coordination and processing annual enrollment activities. Conducts monthly benefit orientation for newly eligible employees.
  • Assists the HR Lead / Benefits Administrator with retirement plan enrollment meetings and communication tasks.
  • Monitors the performance appraisal process. Sends supervisors lists of their employees with performance appraisals due or upcoming. Tracks completion of appraisals. Notifies the COO of any overdue appraisals.
  • Is responsible for maintaining personnel files, including active personnel files, terminated personnel files, confidential files, I-9 files, and student/volunteer/contractor files. Does not have responsibility for privileging/credentialing files. Creates personnel and confidential files for all new employees.
  • Responsible for collecting the first week Onboarding checklist and 30 New Hire checklist and filing in the personnel files.
  • Responsible for maintaining/entering accurate information in the HRIS for employees, volunteers, and contractors. Collaborates with Integrated Systems Administrator when updates to the system are needed. Provides assistance in the management of the employee portal.
  • Prepares and submits or distributes a variety of reports, including but not limited to the annual EEO-1 AND VETS 4212 reports, the annual summary of students/volunteers and the monthly HR Report.
  • Tracks employee immunization and testing (TB, HepB, MMR) in the HRIS. Notifies supervisors of staff needing TB testing or other immunizations. In collaboration with the Nursing Manager, coordinates the annual flu vaccine campaign. Enter data into HRIS, runs reports as needed.
  • In collaboration with the HR Lead, develop and manage the TR uniform allowance program. Creates and distributes employee badges.
  • Provides backup support for HR Specialist: Recruitment/Placement.

MARGINAL DUTIES

  • Maintains the Standard Operating Procedures Manual for areas of responsibility.
  • Prepares articles periodically for Reilly Report newsletter related to programs and benefits.
  • Performs other tasks as assigned by supervisor.

MINIMUM QUALIFICATIONS

  • Minimum two-years Human Resources experience or equivalent education or experience.
  • Excellent organizational and interpersonal skills.
  • Excellent written communication skills.
  • A self-starter able to work with minimal supervision.
  • Excellent computer skills, with experience using Microsoft Word and Excel
  • Is professional in appearance and manner.
