GENERAL RESPONSIBILITIES      

Under the direction of the Operations team, this position is responsible for providing general customer service and assisting/resolving both inbound patient calls and inquiries as well as in person patient visits. Provides customer support to visitors in a professional, courteous, and efficient manner and throughout the patient visit.  Scheduling and registering patients, including the accurate collection of required data.  Staff will also determine eligibility for services, and counsel patients regarding payment policies, monitoring and collection of monies due as needed.

ESSENTIAL DUTIES

  • Answers phone calls and patient inquiries in a timely and helpful manner, providing accurate information to the patient.
  • Logs in and out of the phone queue as required.
  • Provides exceptional customer service with appropriate cultural sensitivity to all internal and external contacts.
  • Verifies and updates patient information including demographics with each patient-related encounter.
  • Screens callers and patients to determine their needs, then directs calls and patients appropriately. Schedules appointments or refers patients to appropriate resources in accordance with established protocols.
  • Schedules, cancels, or reschedules appointments according to the scheduling guidelines, accurately capturing appointment status per protocols including utilization and need.
  • Works with clinicians and nursing staff as needed to ensure patients are seen in a timely manner and that deviations from scheduling protocols to meet urgent patient needs are communicated and acceptable to affected staff. Directs patients accurately and helpfully regarding accessing all integrated departments as well as to outside resources. Is aware of patient referral resources and guides patients in accessing available programs and services, including financial, homeless and zero pay appointments as appropriate.

MINIMUM QUALIFICATIONS

  • Proven record of customer service excellence including good written and verbal skills.
  • Ability to read and follow oral and written instructions.
  • Strong working knowledge of Microsoft Office systems, including but not limited to: Outlook, Word, and Excel.
  • Strong ability to work to prioritize, multitask, and escalate competing duties.
  • Sensitivity to unique or specialized patient populations.

PREFERRED QUALIFICATIONS

  • Previous customer service experience.
  • Previous experience in a Healthcare or social services setting.
  • Previous experience with both billing and EHR systems.
  • Bilingual abilities (English/Spanish).
  • Previous experience working with at risk populations.
