Project Specialist

The Terry Reilly Accounting and Finance team is currently hiring a Senior level Accountant who will help lead and support our internal Accounting and Finance functions. GENERAL RESPONSIBILITIES

Responsible for the oversight of assigned projects. Manage the day-to-day activities required to ensure projects are completed on time, successfully, and in a manner consistent with organizational goals, departmental policies, and organizational priorities. Meets regularly with subject matter experts (SMEs), project sponsors, and project teams to ensure continued progress on assigned projects. Collaborates across departments with internal stake holders to ensure projects are meeting the requirements for reporting, billing and grants. Works closely with divisional leaders to ensure projects are meeting the requirements of the affected departments. Ensures that project plans capture all necessary components, including updated training, policies, procedures, and workflow documentation. Project Specialist will create weekly status reports for assigned projects.

ESSENTIAL DUTIES

  • Collaborate across functional teams to maintain and update organizational change process.
  • Follows established process improvement model to manage assigned projects.
  • Work with project sponsors to complete project charters. Include established timelines, sponsors, and stakeholders.
  • Establish release plans for projects. Include milestones, training plans and review plans for continued improvement.
  • Conducts regular meetings for each assigned project with the appropriate stakeholders.
  • Provides weekly and ad hoc updates on assigned projects to Operations Development Manager. Updates to include project status, barriers, and proposed solutions.
  • Provides monthly corporate updates to Executive leadership on assigned projects.
  • Participate in the development of short and long-range plans across the organization. Conduct research, evaluate alternatives, and propose solutions. Use technology to enhance performance, quality, and efficiency.
  • Works collaboratively with Director of Quality and Risk Management to prepare and submit reports quarterly on QA/QI and Risk Management plan. Identifies gaps or changes needed to overall plan.
  • Serve as an advocate within leadership meetings for process improvement and risk management activities which will enhance the quality and safety of care and the patient experience with care at Terry Reilly.
  • Works with Operations Development team to identify training and workflow optimization needs across the organization.
  • Provide leadership in process improvement work groups as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor's degree or relevant training and experience in health care administration or other related field.
  • Strong conceptualization capabilities to introduce new ideas and solutions that will improve methods, procedures, or systems.
  • Strong analytical and problem-solving skills.
  • Strong computer skills with experience using Microsoft Outlook, Word, and Excel.
  • Effective time management and organizational skills with the ability to work independently.
  • Able to prioritize competing priorities and changing processes. Organized and able to coordinate multiple activities and tasks.

PREFERRED QUALIFICATIONS

  • Project Management certification and at least 2 years of experience in a project management role.
  • Certified Lean Six Sigma Green Belt or higher.
  • Experience using Fresh Service or similar change request platform.
  • Experience with multiple project management software.
  • EPIC Workflow and/or EHR Specialist experience.
  • Bilingual in English and Spanish.
  • Experience working with underserved patient populations.
