Psychiatric Administrative Specialist - Supervisor / Nampa 1st

GENERAL RESPONSIBILITIES       

Provides supervision to the Psychiatric Administrative Specialists within a multi-disciplinary Patient Centered Medical Homecare team. Ensures effectiveness and consistency of ongoing responsibilities which may include processing medication refill requests (per protocol), scheduling patients, documenting phone notes, receiving and maintaining behavioral health sample medication inventory and prior authorizations. Additional duties may include relating to client and referral source relations, meeting and schedule coordination, records maintenance, correspondence, filing, policies and procedures, contracts with outside agencies and independent contractors, and designated program quality assurance activities.

  • Performs the functions of a Psychiatric Administrative Assistant (PAA).
  • Ensures Psychiatric Administrative Assistants meet the requirements of the PAA Job Description.
  • Hires, trains and supervises staff in collaboration with the BH Director.
  • Conducts personnel evaluations for staff utilizing the current Performance Appraisal document as well as feedback from clinic personnel, support services, BH Director and external referral sources.
  • Processes time records and leave requests in time keeping system and requests for training monies and related leave for staff.
  • Makes recommendations to improve office efficiency and cost-effectiveness.
  • Brings all important personnel issues to the immediate attention of the BH Director.
  • Maintains and updates documents for the BH Director including, but not limited to, staff meeting minutes, corporate information, personnel related records, personnel correspondence and data utilized in grant writing.
  • Maintains and updates documents for division including referral lists and treatment information.
  • Answer and manage multiple-line telephone system. Forward messages to prescribers, counselors, and other team members. Answer questions regarding program services, and refer clients to community resources as needed.
  • Communicate all necessary patient information to other health care professionals, both within TR and outside facilities. Communication includes fax, patient records and ROI.
  • Scan and enter necessary paperwork into client's record in EMR and PM system, including documents such as: patient registration, insurance card, Healthy Connection Referral, verification of income, and all other required patient documentation.
  • Receive and process medication refill requests per protocol.
  • Monitor patient schedule to ensure all appropriate records, equipment and supplies are available.
  • Assist with patient education.
  • Receive and maintain all necessary documentation for behavioral health sample medication inventory per existing protocols.
  • Check and respond to e-mails daily.
  • Assist client to complete Terry Reilly registration and intake material.
  • Manage requests for patient information. Fax Release of Information forms to outside agencies to request records.
  • Coordinate patient appointments including: scheduling or rescheduling appointments.
  • Makes recommendations to improve office efficiency and cost-effectiveness.

MINIMUM QUALIFICATIONS

  • Demonstrated computer literacy through successful completion of pre-employment testing.
  • Prior Supervisory experience.
  • No evidence of immoral or unethical behavior. Will agree to law enforcement record check prior to confirmation of employment.
  • Ability to work occasional evenings or weekends as required by the BH Director.
  • Excellent human relations skills.
  • Demonstrated organizational skills.
  • Clear and logical thinker with good writing and communication skills.
  • Able to organize, prioritize, and coordinate multiple activities and tasks.
  • Computer experience with Windows and proficiency with Word software.
  • A self-starter who stays productive under minimal supervision.

 

PREFERRED QUALIFICATIONS

  • One or more years of experience in an in-patient and/or outpatient clinical environment.
  • Bilingual in English and Spanish.
  • College education.
  • Experience with Microsoft Office and data base software.
  • Prior experience and knowledge of related community resources.
